Connect a Google Group
A Google Group (or shared Workspace address) lets your whole team work one mailbox together — no one has to forward anything.
A Google Group — an address like [email protected] or [email protected] that several people receive — is the cleanest way to run a shared inbox. Sortoma reads it for everyone on the team, so there’s no forwarding to set up per person.
Before you start (one-time, admin)
Connecting a Group reads mail on the team’s behalf, so it needs a Google Workspace super-admin to authorise Sortoma once for your domain (domain-wide delegation). In short:
- In the Google Admin console → Security → API controls → Domain-wide delegation, authorise Sortoma’s service account for the Gmail read scope.
- Make sure the Gmail API and Admin SDK API are enabled for the project.
This is a standard one-time setup we’ll walk you through during onboarding. Once it’s done, any Group on your domain can be added in a few clicks — no further admin steps per inbox.
Add the Group in Sortoma
- Open Settings → Inboxes → Connect a mailbox.
- Choose Google Group.
- Enter the group address (e.g. [email protected]) and a label.
- Click Add mailbox. Its mail starts flowing in, already sorted into Urgent / Today / Later.
Replying
A Google Group can’t “send as” itself, so when you reply Sortoma sends from your own address on the thread — the customer still gets a normal reply, and your teammates can see it in the shared inbox.
Give the team access
Decide who sees the Group under Settings → Inboxes → Access. Everyone you add works the same mailbox together, with assignments and @mentions to avoid double replies — see Work together.
FAQ
Does everyone have to forward their mail?
No. Once an admin connects the Group, Sortoma reads it for the whole team automatically.
Who needs to set it up?
A Google Workspace super-admin authorises Sortoma once (domain-wide delegation). After that, adding a Group is a few clicks.
Can we still reply to customers?
Yes. Because a Group can't send as itself, replies go from your own address on the thread, visible to the team.
