Add an inbox
Connect a mailbox so its email shows up in Sortoma, sorted and ready to work. Any address works — here’s how.
Open Settings (your avatar, top-right) → Inboxes → Connect a mailbox. The wizard walks you through three short steps: pick the account type, enter the details, and (for forwarding) set up forwarding.
Add a normal email address (forwarding)
This is the option anyone can use, for any provider — Outlook, Yahoo, your own domain, or a second Gmail. Sortoma gives you a private forwarding address; you point your mailbox at it and the mail appears in Sortoma, visible only to you.
- Choose Other email address (forwarding).
- Enter the address you want to bring in and a friendly label (e.g. “My mail”).
- Sortoma shows you a unique address that looks like [email protected]. Copy it.
- In your email provider, add that address as a forwarding address and turn forwarding on:
- Gmail: Settings → See all settings → Forwarding and POP/IMAP → Add a forwarding address.
- Outlook / Microsoft 365: Settings → Mail → Forwarding, or a mailbox rule that forwards a copy.
- Other providers: look for “Forwarding” in mail settings, or a rule that forwards all mail.
- Confirm any verification email the provider sends, and you’re done — new mail flows into Sortoma.
Heads-up: a forwarding inbox is receive-only today — great for triage, sorting and team discussion. Sending replies from your own provider is rolling out; Gmail and Google Group inboxes can already reply.
Other account types (admins)
If you’re an admin you’ll also see:
- Gmail — a Google account mailbox, connected directly.
- Google Group — a shared team address read for the whole team. See Connect a Google Group.
- Alias — an extra address that belongs to an existing Gmail account or Group.
- IMAP — any other provider, connected over IMAP/SMTP with an app password (stored encrypted).
Set who can see it
A personal forwarding inbox is private to you. Shared inboxes can be opened to specific teammates — manage that under Settings → Inboxes using Access, or read Invite your team.
FAQ
Can I add a non-Gmail address?
Yes. Use 'Other email address (forwarding)' and forward that mailbox to the private Sortoma address it gives you. Outlook, Yahoo, and custom domains all work.
Will my teammates see my personal inbox?
No. A forwarding inbox you add is visible only to you. Shared inboxes are the ones opened to a team.
Can I reply from a forwarded inbox?
Receiving works today; sending from your own provider is rolling out. Gmail and Google Group inboxes can reply now.
